Managing Non-Discord Players
Some empire members may be unable to access Discord due to device restrictions, regional blocks, or personal preference. The managed player system allows leaders to track credits for these players manually.
Managed accounts require significantly more leader effort. Every action a regular player does themselves (claiming activities, checking credits, applying for MGE) must be done by a leader for managed accounts. Always encourage Discord participation when possible.
When to Use Managed Accounts
Appropriate use cases:
- Player's country blocks Discord
- Player uses a device that can't run Discord
- Player has accessibility needs Discord doesn't accommodate
- Temporary solution while helping a player set up Discord
Not appropriate for:
- Players who "don't want to bother" with Discord
- Alt accounts or tracking multiple characters per person
- Circumventing any rules your empire has set
How Managed Accounts Work
Technical Details
Managed accounts are stored the same way as regular player accounts, with two key differences:
- Name suffix: All managed player names end with
-managed(e.g.,SilentKnight-managed) - No Discord link: They cannot be @mentioned or connected to a Discord user
This means:
- They appear in autocomplete alongside regular players
/bonus ledger,/bonus recent, and/mge confirmwork normally- Commands requiring Discord @mentions need managed-specific alternatives
What Managed Players Cannot Do

Setting Up a Managed Account
Step 1: Register the Account
/manual register PlayerName
The bot automatically appends -managed, so the player becomes PlayerName-managed.
They receive the empire's configured starting credits (default: 25).
Step 2: Inform the Player
Let the player know:
- Their account name (with the
-managedsuffix) - How they'll receive credit updates from you
- How to request activity credits or MGE slots
Step 3: Keep Records
Maintain a record outside the bot connecting:
- The managed account name
- The real player's identity
- How to contact them
This helps with disputes, verification, and account recovery.
Day-to-Day Management
Awarding Activity Credits
When a managed player participates in an activity:
/manual bonus PlayerName-managed 100 Participated in Alliance War on Jan 15
Include dates and activity names in the reason. Since managed players can't see their own history, detailed reasons help you answer questions later.
Checking Their Balance
Use /bonus ledger and select the managed player:
/bonus ledger PlayerName-managed
This shows their full bonus transaction history.
Applying Penalties
Same as bonuses, but with negative amounts:
/manual bonus PlayerName-managed -50 No-show for committed rally Jan 16
MGE Participation
Managed players cannot use /apply, so leaders handle MGE participation on their behalf. There are two approaches:
Option A: Apply Through Normal Flow
/manual mge-apply PlayerName-managed slot_preference:5
This:
- Creates a pending application (same workflow as
/apply) - Validates the player has enough credits for the chosen tier
- Requires the MGE to be in the
applications_openphase
Then approve the application:
/manual mge-approve PlayerName-managed slot:5
Use this when you want managed players to go through the same approval process as everyone else.
Option B: Directly Assign a Slot
/manual mge-override slot:5 PlayerName-managed
This:
- Creates an approved application for the managed player
- Removes any existing player from that slot
- Does NOT deduct credits (that happens at
/mge confirm)
Credit Deduction
When you run /mge confirm, managed players are processed identically to regular players:
- Credits are deducted based on slot cost
- A transaction record is created
- They appear in the confirmation summary
Checking Their Application
Use /mge status to see all slot assignments. Managed players appear by name just like regular players.
Communication Strategies
Since managed players don't receive Discord notifications, establish a communication channel:

Information to Share
Periodically tell managed players:
- Current credit balance
- Recent credit changes
- Upcoming MGE (if they want to participate)
- Any empire policy changes
Deleting Managed Accounts
When a player leaves the empire or gets Discord access:
/manual delete PlayerName-managed
This permanently removes the player and all their transaction history. There is no undo.
Before Deleting
Consider:
- Does the player want their credit history preserved?
- Should you screenshot their ledger first?
- If they're getting Discord, should you wait until they're set up?
Best Practices
Keep the List Short
Every managed account is ongoing work. Regularly review /manual list and:
- Help players get on Discord if possible
- Remove accounts for departed players
- Consolidate if someone has both managed and regular accounts
Document Transactions Thoroughly
Regular players can see their own history. Managed players rely on you. Always include:
- Date of the activity/event
- Specific activity name
- Clear reason for bonus/penalty
Good: Participated in Alliance War Jan 15, posted proof in LINE group
Bad: AW
Set Clear Expectations
Tell managed players upfront:
- Response time for credit requests (e.g., "within 24 hours")
- How to request MGE slots and the deadline
- That they're responsible for tracking their own participation
Verify Before Crediting
Without Discord proof threads, verify participation through:
- In-game screenshots sent via other channels
- Checking participation lists in-game
- Coordination with other leaders who were present
Troubleshooting
"Player not found" in autocomplete
- Ensure you're looking for the
-managedsuffix version - Check the account exists with
/manual list - Verify you're in the correct empire's Discord server
Managed player shows 0 credits unexpectedly
Check the ledger:
/bonus ledger PlayerName-managed
Look for:
- MGE credit deductions
- Penalties you may have forgotten about
- Whether the account was recently created (starts at default credits)
Cannot assign managed player to MGE
- Verify an MGE is active (
/mge status) - For
/manual mge-apply: the MGE must be in theapplications_openphase - For
/manual mge-override: the MGE can be in any active phase - Ensure the slot number is valid (1-10) when using
mge-override - Check you're using
/manual mge-applyor/manual mge-override, not/applyor/mge slots-override
